Overview
LogisticsPro handles 500+ deliveries daily across Mumbai and Pune. Their operations team was manually sending status updates via WhatsApp to every customer at each delivery milestone.
The Challenge
With 500 deliveries, each requiring 3–4 status messages, the team was sending 1,500–2,000 manual WhatsApp messages daily. Errors were frequent, updates were delayed, and the team had no time for exception handling.
Our Solution
Built an automated integration between their Warehouse Management System (WMS) and a central n8n workflow hub. Every delivery status change in the WMS automatically triggers the appropriate WhatsApp message to the customer: pickup confirmed, out for delivery, delivered, or failed delivery with rescheduling options.
The Outcome
Day one of launch: 200+ daily manual messages eliminated. Customer complaints about missing updates dropped 45% within 2 weeks. The operations team now focuses entirely on exception cases rather than routine communications.
How we delivered it
API Audit (Week 1)
Mapped all WMS API endpoints, documented status codes, identified webhook capabilities, and designed the event-trigger architecture.
n8n Workflow Build (Week 2)
Built modular n8n workflows for each delivery status. Added error handling, retry logic, and dead letter queue for failed messages.
WhatsApp Template Approval (Week 2–3)
Submitted 8 WhatsApp Business message templates for Meta approval. Built variable mapping for customer name, order ID, and estimated time.
Integration Testing (Week 3)
End-to-end testing with 50 test deliveries. Verified all trigger conditions, message variables, and failure fallbacks.
Phased Rollout (Week 4)
Started with 100 deliveries/day, monitored for 3 days, then full rollout with ops team training.
